The pain you already know
In a typical 15-tech HVAC shop, refrigerant records live in a spreadsheet on the office manager's laptop, sticky notes in the parts cage, and someone's memory. Then a state inspector asks for the last 12 months of charge logs by refrigerant type, and the next two days disappear into a paper hunt.
Since the January 2025 R-410A phase-out, the stakes have changed. EPA Section 608 violations carry fines up to $25,000 per day. Your office team is doing the recordkeeping right, but the audit trail lives in too many places to defend it cleanly when an inspector shows up.
This is the problem the tracker fixes. Not by replacing how your team works. By giving the records they already create a single home that prints a defensible report on demand.
What it actually does
Log every cylinder bought from your supplier and every charge added or recovered on a unit. The tool reconciles them automatically. You always know how many pounds of every refrigerant type are in your shop, and where they went.
Every technician's cert lives in one place. Issue date, expiration date, scanned PDF. The tool sends email and SMS reminders 90, 30, and 7 days before any expiration so nobody works under a lapsed cert.
Annual EPA compliance summary by refrigerant type. Inventory balance snapshot. Cert expiration upcoming list. Print, save as PDF, hand to your inspector.
Your tech finishes a job, pulls out their phone, taps the customer, taps the unit, enters the pounds. 30 seconds. The dispatcher doesn't have to retype anything that night.
Read this before you sign up
It does not replace ServiceTitan, FieldEdge, or Housecall Pro. It does not change anything in your existing field service software. It does not require switching your scheduling, your invoicing, or your job board.
It runs alongside what you already have. The only thing it touches is your refrigerant compliance records, which most shops are tracking in spreadsheets today.
If you want one tool that handles every workflow in your business, this isn't it. If you want one tool that handles refrigerant compliance cleanly so your office stops dreading audit prep, this is it.

About the builder
Built by Colin Heidtman, a Charlotte-based mechanical engineer with 18 years in industrial automation. The tracker started after one too many conversations with HVAC owners describing the same audit-prep nightmare in slightly different words.

FAQ
Does this work for plumbing shops?
Not directly. Plumbing shops don't track refrigerant. If you run a combined HVAC + plumbing operation and want a tool for the HVAC side specifically, yes.
What about commercial refrigeration (walk-ins, ice machines, large rooftops)?
Yes. The tool tracks any unit holding refrigerant, including units over 50 pounds where Section 608 has stricter recordkeeping requirements.
Can I import my existing records from a spreadsheet?
Yes. CSV import on the inventory and equipment screens. We'll publish a template format on day one. If your spreadsheet is messy, email and we'll help.
What happens to my data if I cancel?
Full export to CSV any time, including after cancellation. You own your records. The tool holds a copy for 90 days post-cancellation in case you change your mind, then deletes it.
Do you have a mobile app?
Not a separate app. The tool is a web app that works cleanly on phones. Add it to your home screen and it behaves like a native app for the actions your techs do every day.
Can I see the product before signing up?
Yes. Email [email protected] and ask for a 5-minute walkthrough. No sales call, just a screen share so you can see the actual screens before deciding.
Is there a contract?
No. Month-to-month. Cancel any time from the billing page in your account.
